How often the patients are to be contacted will influence how frequently the report is run and the date range chosen. If the patients are to be texted once a week, you would use a date range of a week and use the end date of this week's report as the start date of the next week's query.
The logic behind the steps outlined below:
- For a report run on 14/07/22:
- 90 days prior would be 15/04/22.
- Two weeks after that would be 29/04/22, so they have time to get a doctor's appointment before the script runs out.
- For a weekly the end date is 05/05/22 (i.e. a week after 29/04).
- This will find patients requiring scripts in 2-3 weeks.
Steps:
To create a list of potential patients to contact:
- From Dispensary, go to 9. Other,2. Bulk edit patients, then select F3. Add.
- Enter Criteria name e.g. No repeats available.
- Select a Date range for the original script (a /1 or /0, not the repeats) for which the patients will likely need a new script.
- E.g. 90 days ago, less the number of weeks that you think they will need to allow to get a doctor's appointment, say two weeks.
- Add 1 to the Items field:
- Exclude cycle and/or dosepack patients, if required:
- Either press F11 Next page and tick No institution,
- or remove patients with dosepacks once the list has been created (see below).
- Tick Has Mobile Number to be able to text patients from the generated contact list (shown above).
- Press F11 Next Page again and tick No Repeats available:
- Press F11 Next Page twice to get back to the first screen.
- Select F12 Accept details to create a list of potential patients:
If required, remove patients with dosepacks
- Press F2 Edit List then R Remove patients in bulk.
- Enter the same date range and 1 on items field as before then F11 to next page and at the bottom of the left-hand column tick has active dosepacks.
- Press F11 three times to return to the first page and enter F12 Accept Details.
Remove inappropriate patients
The list may include patients who will not need scripts from doctors. Possible reasons could include:
- Short course or one-off medicine not needing another script e.g. antibiotics.
- 30-day or 180-day scripts, e.g. controlled drugs, that already have, or do not require new scripts.
- Patients who have moved away, are deceased or have gone to another pharmacy.
Work through the patient list:
- Press F2 Edit List and then select E Edit list patient by patient.
- For each patient, use F5 View history to check if they need a new script
- ESC or F12 will take you back to the list of patients.
- If the patient doesn’t require a script, press F10 Remove item
- Use the arrow keys to move to the next patient.
- Once the list contains only people that require new scripts, press F12. Accept Details.
Now a contact list can be created, or the patients can be contacted directly.
Save a contact list or send messages
- Press F9 Contact Clients.
- To create a contact list for use later, add a name to the Contact list name e.g. no repeats available:
- Then either
- use F12 Accept details to keep the list to contact later, or
- Use F7 create message, and send it using F9 send msg (see Texting and Emailing from Dispensary).
