To strengthen audit integrity and improve sales data reliability, Toniq has restricted editing completed POS transactions in Retail. This change has been implemented to strengthen audit trails, enhance data accuracy, ensure consistent integration with third-party systems and support the business's financial integrity.
When a completed transaction is recalled for editing, the following warning will be displayed to the user:
Benefits
- Fraud Risk Reduction: The potential for internal fraud or theft is significantly reduced when completed transactions cannot be altered.
- Audit Compliance: Compliance with auditing standards is improved, as auditors require a distinct transaction record for each POS action.
- Historical Reporting Accuracy: Reports based on historical data will reflect the original transaction values, ensuring consistency over time.
- Promotion Price Integrity: Promotional or special pricing will remain intact for future reporting and will not revert to the standard sell price due to post-sale edits.
- Third-Party System Consistency: Transactions will remain unchanged when interfacing with external systems, preserving data integrity across platforms.
Editing Restrictions
Once a sale has been completed, the following actions are blocked:
- Completed sales cannot be voided.
- Items cannot be added or removed.
- Pricing, quantity, and credit status of products cannot be adjusted.
- The transaction date and time cannot be edited.
Permitted Edits
Certain limited edits are still allowed on completed sales:
- A client may be added to the sale.
- Existing prescription (Rx) items may be amended.
- Tenders may be removed or added.
- This is primarily used when account charges require adjustment due to Rx item price edits or when charges need to be reassigned to a different debtor account.
- The product’s Extra Description may be amended.
Recommended Best Practices
Changing Transaction Date/Time
To change the transaction date or time:
- Escape the tender list when presented.
- Press F10 Other at the Tender screen.
- Select Edit Date/Time.
- Complete the sale as usual.
Handling Sales Completed in Error
If a sale was completed in error (i.e. one previously resolved by voiding the sale):
- Create a new sale to credit the items back into stock using F8 Price options.
- Refer to Refunding a Transaction for detailed steps.
This process ensures both the original sale and its reversal are recorded, supporting proper audit trails
