Toniq has developed a fully integrated pharmacy inbox to receive Prescription messages from GPs, hospital prescribers, and more.
The Toniq Inbox allows users to view, manage, and process prescriptions directly from within Toniq Dispensary.
Inbox Notification
When new Inbox messages arrive, the blue envelope New Message icon displays in the top panel. This is visible anywhere in Toniq. This will show anytime there is a message with a status of New:
Accessing the Inbox
When a new message arrives, the Inbox can be accessed from the prescription entry screen by pressing F4 Inbox:
Upon pressing F4 Inbox you will be presented with the Toniq Inbox screen:
Toniq Inbox Details
- Date and time the message was received by Toniq.
- This displays the message status; all new messages will display a status of New. If the Status is updated the initials of the staff member who made the change will be recorded in the Staff field. At the time of writing, there are six statuses:
New
In Progress
Dispensed
Completed
Printed
On Hold - This shows there is a file attachment in relation to this message. This is normally a PDF copy of the prescription and can be viewed and printed by pressing F11 View Attach.
- This is a message that has been included by the doctor in relation to the script which has been sent.
- Details of the sender; normally the doctor’s name and contact details as provided in the message
- Details of the prescription as provided by the doctor’s system, this will contain the SCID and patient details.
Function Keys in the Toniq Inbox
F2 Edit Patient. This allows you to edit the patient’s details in Toniq. This is useful if, for example, the patient’s phone number provided is different to what you have in Toniq. F2 Edit Patient only works if the NHI provided in the message matches a current patient record in Toniq.
F3 Edit Rx’er. This allows you to edit the prescriber’s details in Toniq. This is useful if, for example, the prescriber’s phone number provided is different to what you have in Toniq. This only works if the NZMC number provided in the message matches a current prescriber record in Toniq.
F4 Filter. This allows you to filter the list by patient. Additional filters will be added.
F5 View History. This allows you to view the patient history. This is a view-only feature and cannot dispense repeats etc. This only works if the NHI provided in the message matches a current patient record in Toniq.
F6 Contact Patient. This allows you to text or email the patient using the standard Toniq contact forms. This only works if the NHI provided in the message matches a current patient record in Toniq.
F7 Update Status. This allows you to set and change the status of a message item. When this is done Toniq will automatically record the staff members user code in the Staff column.
F8 Disp. Rx. This allows you to dispense the NZePS prescriptions. This will only work if the subject contains the NZePS SCID barcode. More information provided on page 5.
F9 Print Attach. This allows you to Print the attachment of the item in the list.
F11 View Attach. This allows you to view the attachment of the item in the list.
Dispensing a Prescription from the Inbox
When a message has an NZePS SCID barcode in the subject field the F8 Disp. Rx function key can be used to dispense the prescription:
Upon pressing the F8 Disp. Rx button two things will happen to the highlighted message:
- The status of the message will be set to In Progress, and
- You will be taken to the prescription entry screen and the SCID will automatically be entered allowing you to process the NZePS prescription.
Once you have finished the prescription, ending the visit like normal will update the message status to Dispensed.
If you want to let the patient know the item is ready for collection you can do so easily by sending them a text from the Inbox screen.
Multisite Databases and Toniq Inbox
If you have a pharmacy that shares a database, the below applies:
- The Toniq Inbox notification will display only when there are New messages in the current store’s inbox.
- Further to this, the inbox messages will only display for the current store’s Inbox.
