Retail - Creating an Automatic Order

Orders can be automatically generated in Toniq Retail based on current stock on hand, sales history, and margin figures. This method is recommended for creating large orders efficiently.

Process

• From the main menu, go to 2. Stock control, 1. Orders, then 1. New order.
• Check for an existing Order Type.
  • If none is found, press F3 New Type to create one.
• Enter a name for the Order type (e.g., Daily).
• Select a Supplier:
  • Press the spacebar, search, and select from the dropdown list.
    • Note: Refer to Available Suppliers for Online Ordering for supplier setup.
• Set Min cover to determine when an item comes into an order, i.e., include items that have less than this amount of cover into an order.

• Set Max cover to the desired number of days' worth of stock required in the pharmacy.
  • See Order Type Suggestions for guidance.
• Under Price lists, type the supplier's name, press Enter, and select the relevant pricelist(s).
  • Note: Multiple Lists may be selected if eligible for the supplier.
• Optional: Add pricelists to P/L excl. to exclude from the order, e.g., for products you wish to order exclusively through another supplier.
• By Costing, tick Price list.
• If buying multiples are used in the pricelist, enter a Min buy margin (e.g., 0.2).
• Set a Margin to control rounding of pack quantities:
  • A low margin (e.g., 0.1 ) means the order is more likely to round up and order extra packs (useful early in the month).
  • With a high margin (e.g., 0.8) the order is less likely to order extra packs (useful later in the month).
• Press F12 Accept Details to save the automatic order form, which can be recalled for future use. 

Troubleshooting Items Not Ordered

If product(s) do not appear in an order:

• Tick the Show All option on the order type to view all products considered for the order.
• If still not listed, review the stock cards under F4 Stock after selecting F2 Edit Order:
  • Items flagged as Dont Order or Hide will be excluded from ordering.
  • ReOp. and ReOq settings may also affect whether a product is included.
