Orders in Toniq Dispensary can be created automatically depending on Order Type and medicine Stock Card settings. If an item is not brought into an order, it could be one or more of the following reasons:
Min Cover is too low
The Min cover on an Order Type represents how many days’ worth of stock is needed in the pharmacy. It is the point at which items come into the order and determines the range of products included in orders. (Once an item is in an order, Max cover is used to calculate how much will be ordered.)
- If products are not included in the order, try increasing the Min cover.
- For a Daily order, 7 days' cover is a suggested minimum.
Margin is set too high
In the order type example above, the Margin is set at 0.10., which means that if 1.05 packs are required only 1 pack will be ordered, but if 1.3 packs is the required quantity then 2 will be ordered.
Note: Pack size is a factor. If the medicine has a pack size of 500, and 48 are required for cover, it will not come into an order with a 0.10 Margin, but if the pack size is 100 it would be included in the order because it is over 0.1 of a pack.
- If products are not included in the order, try reducing the Margin to include an item.
Item has a ReOp or ReOq set
Re-order points and re-order quantities on medicines override the settings in the Order Type. In the example below, Omeprazole Teva won't be ordered unless stock-on-hand is less than 180 tablets (see Ordering - Using Re-order Points & Re-order Quantities):
- If products are not included in the order, try ticking Ignore reop and Ignore reoq:
- Alternatively, review medicines with these settings and remove them as appropriate.
- Go to 3. Reports, 3. Medicine reports, 2. User maintained medicines, tick Reorder Point/Quantity/MaxSOH, and press F12 Accept Details to run the report.
Other Settings
- Check whether the medicine stockcard has Don't Order or Hide set, as theses will stop the item being ordered.
