Credit orders are used when stock is returned to a supplier.
Creating a Credit Order
- From the Main Menu in Dispensary go to 2. Stock control then 1. New order.
- If present, select an existing credit order type:
- Otherwise, press F3 New Type to create a new order type.
- Enter a name in the Order type field, e.g. Credit Order.
- Select the relevant Supplier by pressing the spacebar then Enter and choose from the options in the dropdown box.
- The supplier can be changed each time this credit order type is used, depending on where the products are returned.
- Set the Min cover field to 0 and Max cover to C (Credit order).
- Press F12 Accept Details to create a blank credit order.
- The function keys at the top will be in red to denote it is a credit order:

- Add the products to be returned to the supplier using F2 Add Item, then enter a quantity in the Crdt column.
- Check the costs are correct.
- Check the costs are correct.
- Use F8 Reduce SOH? to toggle between whether the stock-on-hand (SOH) should be adjusted or not; shown as Adj. and No Adj. in the Reduce SOH column:
- Press F11 Adjust SOH to process the credit order.
- Different prompts may appear, depending on the General Options set, to enter extra information such as Credit reason. Fill in the field(s), then press F12 Accept Details:
- Options to 1 Print order for supplier or print a 2 full order report will appear.
- Press ESC to continue without printing.
- Note: Use F9 Print Order to get these same options, before or after completing the order.
- On the following prompt, press A to Adjust stock and accept order, or C to Cancel adjustment if changes to the credit order are required.
- Different prompts may appear, depending on the General Options set, to enter extra information such as Credit reason. Fill in the field(s), then press F12 Accept Details:
Removing Completed Credit Order
Once a credit note or replacement stock has been received from the relevant supplier, the credit Order can be removed from the Edit Orders list. To do this:
- From the Main Menu of Dispensary, go to 2. Stock control then 2. Edit order.
- Select the appropriate credit order from the list:
- Within the order press F10 Other and select 4 Delete order.
- If appropriate, press Y to the final prompt:
Reporting
Once an order is received, deleted, or otherwise not available on the list, it can be printed from the Report Received Orders:
- From main menu, go to 3. Reports, 6. Stock reports, then 8. Report received orders.
- Use the options available here to find and reprint any completed credit order (or other received orders).
